AI Receptionist for Barbershops

The AI receptionist that answers your shop's phone — so your barbers can stay focused on the chair

Stop interrupting cuts to answer the phone. Lucy picks up on the first ring, checks who's open, books appointments, and texts you the transcript — 24/7, in 7 languages — English, Spanish, French, German, Russian, Mandarin, and Portuguese.

Why barbershops lose more calls than other businesses

Every time the phone rings, somebody at the shop has a choice. Either a barber sets down the clippers mid-fade to grab it, or it goes to voicemail and the caller dials the next shop on the block.

Most calls to a barbershop are short and simple. “Are you guys open?” “Do I need an appointment, or can I walk in?” “How late are you taking people today?” “Can I get in with Marcus around 4?” They are also high-intent. A caller asking whether there's a chair open right now is two minutes from being in your chair — if somebody picks up.

That's the call BookedSmarter is built to answer. Lucy — your AI receptionist — picks up on the first ring, around the clock, in English or Spanish. She tells callers whether there's a wait, books them with a specific barber if they ask for one, and texts you the transcript so you know who's coming in.

What Lucy does on a typical barbershop call

Three examples of the kinds of calls Lucy handles today.

Saturday-afternoon walk-in availability check

A caller asks if there's a chair open right now. Lucy reads your calendar, tells them honestly that the next opening is about 35 minutes out with Jordan, or 20 minutes out with Marcus if they want to wait. They pick Marcus. Lucy books the slot and texts the caller a confirmation with the address.

Beard-package booking with a specific barber

A regular calls asking for the 60-minute beard package with hot towel, “with Mike like always.” Lucy pulls up Mike's calendar, offers the next two Saturday-morning slots, books the one the caller picks, and sends a confirmation text. You see the booking on Mike's schedule before the caller has set down the phone.

After-hours booking for next week

A caller dials at 9:40pm wanting to lock in a fade for Friday after work. Lucy answers, runs your standard intake, books the 30-minute slot per your availability rules, and texts you the transcript. The caller doesn't have to remember to call back tomorrow — and you don't lose them to the shop that answers their text first.

Hear it for yourself. The demo below is the same intake flow Lucy runs on a barbershop call — answer, ask, confirm, book.

What other shop owners say

Illustrative testimonials representing the kind of feedback we hear from shops like yours.

“Used to stop a cut every twenty minutes to answer the phone. Now Lucy handles every walk-in availability call and books the appointment. My barbers stay on the chair, and my Saturday revenue is up because we stopped sending callers to the shop down the street.”
— Anthony R., owner, Eastside Cuts Barbershop, Chicago, IL Illustrative
“Half my regulars want a specific barber. Lucy books them straight into the right chair, the right duration, and texts me the day's list so I know what's coming. It's the booking system I wish I'd built three years ago.”
— Marcus J., owner, Sharp Line Grooming Co., Atlanta, GA Illustrative
“We get a ton of calls in Spanish in this neighborhood. Lucy switches automatically and the booking experience is exactly the same. Nothing gets lost in translation.”
— Luis M., owner, La Barbería del Barrio, Miami, FL Illustrative

The barbershop services Lucy is pre-configured to book

You configure your service list in the onboarding wizard. Lucy reads from your list — not a generic grooming menu. Each service carries its own duration and routing logic.

What Lucy books today:

Different service, different duration. A line-up is 15 minutes; a full grooming package with hot towel is 60. You pre-fill the durations once; Lucy books the correct slot every time. Setup is one onboarding session. Most shops are live in about 10 minutes.

An honest note for multi-barber shops. Today Lucy can route to a specific barber if you connect each barber's calendar in the wizard. If a caller doesn't ask for a specific barber, Lucy books with whoever is available per your default rule. She does not handle tipping flows, collect deposits, or enforce a no-show policy today.

Seven languages, natively

Lucy detects the caller's language in the first sentence and answers in English or Spanish from there — not a translation layer. Your service list, your barbers, and your booking flow run identically in both languages.

This matters in barbershops serving neighborhoods where a meaningful share of customers prefer Spanish. A receptionist that stumbles the moment it hears Spanish is sending real walk-ins to the next shop on the block.

What this isn't

Lucy is not a barber. She does not recommend styles, suggest cuts based on face shape, or give grooming advice. The conversation is purely scheduling and availability.

Lucy does not take tips, process payments, or apply deposits. Payments and tipping stay between your shop and the customer.

Lucy does not enforce a no-show policy on her own. She'll confirm the booking and send a reminder; how you handle no-shows is your shop's policy.

Lucy is not a substitute for the energy of your shop. Her job is to keep the phone covered so your barbers can stay on the chair and your shop sounds like a shop — not a phone bank.

FAQ

1. Can Lucy tell a walk-in if there's a chair open right now?

Yes — when you connect your booking calendar, Lucy can read your current openings and tell a caller honestly whether the next available chair is in 15 minutes or two hours, and which barbers are working today. If you'd rather she just take the booking and confirm the time, she does that too. You choose the script in the wizard.

2. Can Lucy book a specific barber?

Yes, if you list your barbers in the onboarding wizard and connect each one's calendar. A caller asking for “a cut with Mike on Saturday morning” books straight into Mike's calendar. If the caller doesn't ask for a specific barber, Lucy books with whoever is available — per the routing rule you set.

3. Can Lucy book longer services like a beard package or hot-towel shave?

Yes. You configure your service list in the wizard with the duration each one takes — 30-minute cut, 45-minute cut and beard trim, 60-minute beard package with hot towel, etc. Lucy books the correct duration so you don't end up with a 45-minute service crammed into a 30-minute slot.

4. What about cancellations and no-shows?

Lucy sends an SMS confirmation when she books an appointment, and a reminder text before the appointment if you enable it in the wizard. Callers who text back to reschedule or cancel are handled the same way as new bookings. Lucy does not collect deposits or enforce a no-show policy today — how you handle those stays your shop's policy.

5. Does Lucy handle Spanish-speaking customers?

Yes. Lucy detects the caller's language in the first sentence and answers in English or Spanish from there — not a translation layer. Your service list, your barbers, and your booking flow run identically in both languages.

6. Does Lucy integrate with Booksy, Square Appointments, or Vagaro?

Today Lucy integrates with Google Calendar and our native scheduler. She does not connect to Booksy, Square Appointments, Vagaro, or Schedulicity. We'd rather support one integration that works well than five that don't.

7. What does it cost?

See current plans and pricing. No per-call fees, no hidden setup minimums.
